This Privacy Policy explains how Flow Pressure Washing LLC (“FleetPRO,” “we,” “us,” or “our”) collects, uses, and shares information when you use the FleetPRO web application and mobile app (the “Service”). FleetPRO is a tool that fleet-washing and field-service businesses use to manage clients, vehicles, crews, schedules, invoices, and completion reports. If you use FleetPRO because an employer or business invited you, that business is the controller of its workspace data and you should also review its own policies.

1.Information we collect

We collect the following categories of information:

Business recordsInformation you enter to run your business: client names and contact details, addresses, vehicle and unit identifiers, schedules, service checklists, invoices and amounts, expenses, pricing, timecards, and completion reports.
Photos & notesVehicle photos and notes that crew capture during a job (see Section 3).
LocationPrecise device location used to verify on-site clock-in, and address-derived coordinates for job sites (see Section 2).
Documents & signaturesService agreements and the electronic-signature data (typed or drawn signature, signer name, consent, timestamp, and IP address) recorded when a document is signed.
Device & usagePush notification tokens, device type, app version, log and diagnostic data, and basic usage information needed to operate and secure the Service.

We do not knowingly collect Social Security numbers, government IDs, or payment-card numbers. When paid subscriptions are processed, card details are handled directly by our payment processor and are not stored by us.

2.Location information

If your business enables geofenced clock-in, the mobile app may request access to your device’s precise location at the moment you clock in, in order to confirm that you are at the assigned job site. Location is used only at that moment to compute your distance from the site; we do not continuously track your location in the background. Job-site coordinates may also be derived from an address you enter, using a mapping provider. You can decline or revoke location permission in your device settings; doing so may prevent on-site clock-in where your business requires it.

3.Photos & camera

With your permission, the app uses your device camera to scan QR codes and unit identifiers and to capture vehicle photos during a job. Photos you save are stored in your workspace and may be included in completion reports sent to your business’s clients. The camera is used only when you actively open a scanner or photo feature.

4.Push notifications

If you allow notifications, we register a push token for your device so we can send operational alerts (for example, that a crew submitted a report or that an invoice is overdue) to workspace administrators. You can turn off notifications at any time in your device settings or within the app.

We do not sell your personal information, and we do not use your business records or photos for advertising.

We use the following third-party providers to process data on our behalf. Each provides its own privacy and security commitments:

8.Retention

We retain your information for as long as your account or workspace is active and as needed to provide the Service. We may retain certain records longer where required for legal, tax, security, or dispute-resolution purposes. When data is no longer needed, we delete or de-identify it. Workspace administrators control much of the data in their workspace and can delete records using the in-app tools.

9.Security

We use technical and organizational measures to protect your information, including encryption in transit, hashed credentials, and row-level access controls that isolate each workspace’s data. No system is perfectly secure, so we cannot guarantee absolute security. Please use a strong, unique password and keep your credentials confidential.

10.Your choices & rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. You can:

If you were invited into a workspace by a business, some requests may need to be directed to that business as the controller of its data; we will assist as appropriate. We will not discriminate against you for exercising your rights.

11.Children

FleetPRO is a business tool and is not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.

12.International users

We operate in the United States, and your information is processed and stored in the United States and other countries where our providers operate. By using the Service, you understand that your information may be transferred to and processed in these locations, which may have different data-protection laws than your own.

13.Changes

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date above and, where appropriate, provide additional notice. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
